The General Resources section of Ragon Connect provides a handy resource guide to all Ragon staff of many common administrative tasks from purchasing computer equipment to booking a conference room.

Building Maintenance

Our landlord, Alexandria Real Estate, manages all building services. Lab Managers and Office Managers can submit work order requests for special cleaning or building maintenance.

If you are working in the labs, please contact your lab manager.  If you are working in the administrative space, contact Samantha Bennett, or Thor Sandstad.

Business Cards

The Partners Vendor for business cards is The Allied Group.  Ragon has several business card templates available through them.  Please choose the one which reflects your affiliations, not the affiliations of Ragon.  Here are the instructions:

  • Go to http://www.thealliedgrp.com/virtual-office-login and log in with registration code 152411
  • Make sure you include your cost center in your submission or this will delay your approval.
  • After you register, Allied will send you a separate email once your profile is activated.
  • Please wait for email confirmation to get full access to virtual office.

Computer Equipment and Software

All software, computer, and encrypted USB drive/external hard drive requests are placed through eBuy. Contact Ragon IT for assistance: email RagonIT@mgh.harvard.edu or visit them in 957.

Before placing you order:
Step 1: All items you wish to order must be approved by both your supervisor (PI) and the grant manager of the fund to which the order will be charged. (If you do not know the name of the grant manager, ask your PI). If you begin the form and have not yet received approval, you may save your data at any time and return at a later date to finish the process.

Step 2: Obtain a quote for all items.  However, if you are purchasing a Partners workstation, laptop, encrypted drive, or accessories you will not need a quote.

Apple products are purchased through Apple Education, contact Ragon IT to request a quote from them.

For products that can’t be purchased through the Service Desk, Ergo Group or Apple we order directly from the vendor.  See the attached list of contacts to get quotes from other vendors.

Partners build computers, drives and peripherals are purchased through Ergo Group.  View available products. Contact Ragon IT for pricing, and call the Help Desk at 617-726-5085 with technical questions about products.  All Partners computers come with the Operating System, Microsoft Office, and standard Partners applications already installed.  They also include a mouse and keyboard.  Monitors and special software need to be purchased separately.

To submit your request:
Submit your request through eBuy. All fields within the form must be completed in order to submit your request.

After you submit your order request:
You will receive an automated response informing you that your request has been received. When your order has been placed you will receive a second email indicating that your items are being shipped, along with instructions about where to pick them up once they have arrived.

Computer workstations, laptops, and accessories are the property of MGH. When an employee leaves Ragon Institute, his/her laptop and accessories are returned to their supervisor for reassignment. Computer workstations will remain at current location unless a move request is submitted.

Total Turn Around Time to Process Requests:

  • Software Orders: All software will take 5-7 business days to receive.
  • Computers: Partners build workstations and encrypted USB/external hard drives can take up to 15 business days to receive after you have submitted your online request. Laptops and other computers ordered through PC Connection (or other vendors) can take up to 10 business days to receive.

Contact Ragon IT in the first instance, if they cannot help you they will escalate your issue to the Service Desk.

Conference Room Booking

There are six conference rooms, a Tea Room, and the Mark and Lisa Schwartz Auditorium, available at Ragon Institute. All conference rooms can be booked by speaking to your Lab Manager who will be able to reserve a Ragon conference room through Skedda.

Copier Use and Support

There are copiers on all floors available for use. You can copy to paper or send a scanned document to your email address. There is information about Ragon printers here. You can also speak to your Lab Manager for assistance. If paper or toner runs out or if there are problems with copier jams, streaking, or poor print quality, please contact Claire Brewer.

The first floor copier also has the ability to fax and scan. You can scan documents and have them sent directly to your email address. The institute fax number is 857-268-7141.

Coffee Machine

There are two espresso machines located in the Tea Room on the 7th Floor. Please contact Franklin Lora, 857-753-0555, if there are any issues with the machine that require immediate assistance. Franklin can also be contacted for all cleaning and restocking.

Hosting an Ad Hoc Speaker

Ragon Weekly Seminars are arranged by the Ragon Seminar Committee, however, if you have a speaker who you would like to host, please keep in mind the following:

Funding: Please contact your grants manager to determine funding before any other arrangements are made.

Advertising: Seminar information on the website is updated by the Seminar committee and it is preferable to update the website prior to sending out the notice to Ragon Tech Square.

Travel and Accommodations: If the Ragon Institute is paying for a speaker’s flight, please make arrangements through Great Getaways (diane@ggatravel.com or (617) 720-6100. If your speaker needs a hotel, contact Elaine Burns. One night’s hotel accommodation at the Wyndham Hotel is usual but, if a longer stay is expected, an agenda is required in advance of their stay to document the business purpose of the additional day(s).

Lunch orders: Please contact the events coordinator for a lunch order. MGH Catering needs at least 24-48 hours advance notice.

Speaker Reimbursement: Original receipts (cabs, meals, airport parking, etc) should be sent to Elaine Burns.

Mail Services

There is a mail station located on the 7th floor of 400 Tech Square, outside the Tea Room. All PI’s and Directors have mail slots. All other mail will be placed in the A-Z slots, by last name. Check for mail regularly and discontinue any publications that you do not want. Mail will not be delivered to your office.

Mail delivery from Main Campus arrives with the 9 AM shuttle. Outgoing mail, both inter-office and US postal service mail to be metered should be dropped off at the Reception desk. It will be sent to main campus on the 9 AM shuttle.

Stamped mail may be brought to the Reception desk. This will be picked up by the US postal service daily between 2pm and 4pm. There is also a US mail box near 198 Broadway at the corner of Davis Street with a 5 PM pickup.

FedEx and UPS
FedEx drop box is in the 400TS garage, and the Fed Ex store in front of 500TS on Main Street.

UPS drop box is on the 400TS garage, and at 300TS reception.

Small packages can be left at the reception area on the first floor. You are responsible for scheduling a pickup between the hours of 8:30am and 5pm.

Tuesday Lab Presentations

Email slides in PDF format or indicate whether your presentation is for a Mac or PC to ragonmeetings@partners.org and to the two scheduled discussants on the schedule no later than 6:00 pm the Sunday before the scheduled meeting. A reminder email will be sent to you on the Tuesday before your scheduled presentation time.

Please speak into the microphone so that members in the back of the audience can hear you. A laser pointer will be provided to help you convey ideas.

Office/Lab Supply Ordering

Lab Managers are responsible for placing all laboratory, office, and miscellaneous supply orders through eBuy.

Admin/Ops staff, please contact Kim Ngo, or Samantha Bennett, to place general office supply orders.

PI’s and Labs with HHMI funding are able to order through Alicja Piechocka-Trocha, Senior Lab Manager in Walker Lab. She may be reached at 857-268-7160.

Office and Lab Furniture

For all furniture requests, please contact Thor Sandstad.

Printer Use and Support

All printers are supplied by each lab/group. Please check with your lab manager or supervisor to locate the printer you should use. Printer supplies are purchased by each group so please contact your lab/group representative if paper or toner runs out or if there are problems with copier jams, streaking or poor print quality.

Recycling Printer Cartridges
Labs: leave the cartridges (in original boxes, marked “recycle”) where Franklin leaves your incoming supplies.

Administration: call Franklin (857-753-0555) to pick up the cartridge (in original box, marked “recycle”) or bring it to the first floor reception area.

TravelSafe Information

TravelSafe is a travel information and assistance program that was created to help Partners travelers with a single point of contact in an emergency and to provide important travel information while traveling domestically or internationally on business related travel.  Visit the TravelSafe website to receive updates on travel advisories, travel insurance, emergency medical evacuation, and security assistance.

WiFi

There is free wifi throughout Ragon Institute. There are three secure Partners Wifi networks as well as a Partners guest wifi network.

Ragon Employees: Please use one of the three Partners’ networks, phswifi1, phswifi2, phswifi3.

Guests: Please tell guests to use MGBGuest to access the internet for mobile devices or laptops while at Ragon.

To log into these wifi networks you will be prompted to enter your Partners user name and password. This is the same username and password you use to log-in to all Partners applications.

Tech Square Quad: There is free wifi in the front of our building around the quad. Please feel free to use this network when enjoying lunch or a meeting outside.
